Participation Conditions to CINETRAIN: Russian Winter

If you are interested in applying, please read through the following participation conditions for the CINETRAIN.

A) Qualification

Your application for the CINETRAIN will only be processed if you meet the following requirements:

  • a) You are fluent in the English language.

  • b) You fill out the application form correctly and fully in English. In case you are selected as participant, please be aware that your data will be published on our website as provided by you.

  • c) You work in one of these areas: direction, cinematography, editing, sound design, film music composition.

  • d) You have worked on at least one short film that was awarded a prize, OR your have had a film screened at an international film festival, OR you have worked on a film of at least 60 minutes in length, OR you are a student in your final year at a film school or in a post-graduate film programme.

  • e) You have not participated in previous editions of the CINETRAIN.

  • f) You have submitted a complete application, including sample of work and payment.

  • g) You have paid the submission fee (Payment only through PAYPAL)
  • h) You are able to attend all days of the CINETRAIN.

Please note that the application is individual. We cannot accept team applications. Teams will be organized prior to the project by the Cinetrain organisors.

You must have obtained the consent of the other copyright owners for the use of the work sample submitted as stated below.

B) Application

The application consists of 3 parts:

Part 1: Application
First you must accept the conditions for participating in the CINETRAIN. You will then proceed to the application form which you must complete in English.

Part 2: Submit a sample of work
You have to send in ONE of the following items as a sample of your work.

  • 2.1. FOR DIRECTORS, EDITORS, CINEMATOGRAPHERS & SOUND DESIGNERS/COMPOSERS.
    Your film material should be of approximately 3 minutes in length. The sample can either be a film made specifically for the CINETRAIN application, a three minute short film or an excerpt or series of clips from pervious work. Please do not send a fast edit show reel. The sample should be in English, or subtitled in English. It should highlight your creativity and professionalism rather than a certain theme or topic.

    Technical Specifications for films: Only uploading your film to any platform on the internet (Dazoo, Vimeo, Youtube...) with the mention "For cinetrain 2012"

  • 2.2 For SOUND DESIGNERS/COMPOSERS ONLY:
    Instead of film material, your sample of work may also be an MP3 audio file (not exceeding 5MB). The maximum length is 5 minutes. You can post it with your application.

Part 3 - Payment

For your application to be validated, you need to pay a 10 Euro fee if you submit before 15th of August, 20 Euros after that date (Deadline: 15th of September) , covering the administrative expenses of your application.

Payment can only be made through Paypal. after you click the "submit" button at the end of the application, you will be redirected to a secured paypal billing page. After the payment is complete and validated, you will receive a notification email, confirming your submission.

All you need for the payment is a credit card and an email address.

C) Further Regulations

Participant's film material or sample of work

  • 1.) The participant hereby agrees that his/her photograph and data may be published on the website of CINETRAIN provided in the "Presentation" area of the online application form. (This can be customized by the participant at any time upon request.)

  • 2.) The participant agrees that his/her sample of work submitted to the CINETRAIN may be shown publicly, and streamed on the website of CINETRAIN or related organisations and/or sponsors of the CINETRAIN.

  • 3.) The participant agrees that the aforementioned use of his/her work may also include podcasting. This means that his/her work can be accessed and podcast and that he/she can access the works of other participants vice-versa.

  • 4.) The participant agrees that his/her submitted sample of work, may be published by CINETRAIN in full length or as an excerpt in print or television or any other multimedia format for promotional purposes of CINETRAIN.

  • 5.) The participant declares that he/she owns the copyright for the sample of work submitted, according to the relevant national and international regulations. This includes music and sound effects included in sample of work. He/She guarantees that no rights of third parties are violated by the material used in the film or other sample of work submitted. The participant unconditionally and irrevocably declares his/her copyright responsibility towards third parties in case of disputes over copyright violations. In this respect the participant exempts CINETRAIN from all claims by third parties.

  • 6.) The applicant agrees that his/her work can be presented to parties who are interested in the commercial exploitation of the short film or the work sample submitted. CINETRAIN will not negotiate any commercial exploitation of the submitted works without a written agreement from the copyright holder.
  • 7.) The submission fee is not refundable, regardless of the cause.

  • 8.) CINETRAIN is not liable for any loss or damage incurred, irrespective of the cause.

Application Deadline
The CINETRAIN: Russian winter deadline for reception of your complete application is 15th of September 2011.

Event period

3 weeks during February 2012 (precise dates to be announced 4 months prior to the project start)

Location of the event
From Murmansk to Irkutsk. Flight transfer from Moscow and to Moscow upon the beginning and the end of the project

Selection of participants
Participants will be selected at the sole discretion of CINETRAIN. Applicants selected for participation will be informed via email 4 months prior to the begining of the project at the latest. The list of selected participants will be published on our website by this date.

Travel expenses
Participating in the Cinetrain is FREE OF CHARGE. We will transport you, feed you, get you equipment and shelter you all along the way. The only cost that is upon you is the plane ticket from your home country to and back from Moscow, as well as the visa expenses. A partial travel (from and to the participant's home country) and visa expenses may in some cases be offered to some participants who are not Russian and do not reside in Russia. The amount will be then determined on an individual basis and at the discretion of the CINETRAIN.

Responsability of the participants
CINETRAIN offers, free of charge, a cutting edge filmmaking experience. In return we expect your cooperation and daily commitment to the CINETRAIN and to the filmmaking process going on during the project. CINETRAIN reserves the right to remove participants from the website who abuse their participation, who are repeatedly absent, who make false statements or endanger the filmmaking workflow of the project.

As well, directors MUST deliver a final cut version of their novel by the end of the project.

All participants, prior to the project will sign a contract clearing out legal issues concerning their participation, the rights of the movie they will work on and the responsabilities of Cinetrain.

Privacy
CINETRAIN respects each person's right to privacy. We do not buy or distribute personal information or your samples of work for commercial purposes. Your application data and your sample of work will be treated confidentially. Only the staff of CINETRAIN has access to your application data.

If you are selected to participate in CINETRAIN, your profile data and your submitted sample of work, will be used as stated above (C 2-5). In particular, it may be displayed in a database on our website or related areas.

Governing law
For the avoidance of doubt, this agreement is governed and construed in accordance with the laws of the Russian Federation. In the event of any dispute arising out of or in connection with this agreement, exclusive place of venue shall be Moscow, Russia.
